DEFENDERS Sr Administrative Assistant in INDIANAPOLIS, Indiana


Job Summary:

Handles a wide variety of administrative and day-to-day support tasks for Executive in order to achieve strategic initiatives and business objectives for the department.


Essential Functions:

  • Manages Executive calendar as directed while providing known prioritization for all initiatives and action items.

  • Anticipate needs and proactively bring together appropriate people and resources to support the Executive in addressing the issues at hand.

  • Assist in the management of multiple projects simultaneously for Executive and team.

  • Monitors email, composes responses for review by the Executive; distributes communications, presentations, and other documents after working through items with Executive.

  • Research, prioritize, and follow-up on inbound communication and concerns addressed, including those of a sensitive or confidential nature; determine appropriate action, referral, or response.

  • Coordinate very detailed travel plans, itineraries and agendas, accommodations, meals and compile documents for travel-related meetings.

  • Schedules meetings, manages agenda process, and coordinates logistical arrangements including space & facility needs and media equipment.

  • Lead and/or participate on project teams related to a range of operational matters.

  • Manages expenses, budget, and reimbursements.

  • Record, transcribe, and timely distribution of meeting minutes.

  • Approve PTO, complete expense reports, and review invoices according to company policy.

  • Develop relationships with key operational contacts, both internal and external.

  • Perform other duties as required and work independently or with little or no supervision.



Background & Education:

Education: Bachelor's Degree preferred

  • Exeptional communication and writing skills and ability to interact respectfully with diverse individuals.

  • Demonstrated ability to balance competing priorities, accomplish objectives, and meet deadlines by being flexible, proactive, and efficient.

  • Ability to exercise high level of professionalism, judgement, discretion, and confidentiality.

  • Knowledge of standard office administrative practices and procedures with In-depth knowledge of Microsoft Office Suite.

Minimum Years Experience:

5+ Years of Administrative Assistant experience or equivalent
